Title: Loading Am
Description: question account verses account group

Linda - February 23, 2006 07:39 PM (GMT)
we are looking to upload am to our system . I know we need one accounting group to one division for each accounting unit. However I'm confused on if we should use accounting unit group or account group. It looks like the account group controls the accounting and sub account portion of the gl number while the accounting unit group controls the accounting unit portion of the gl number. Can anyone tell me which one I need to use?

You need both. Account Group drives which account and subaccount are used for your clearing and gain and losses on disposals. Accounting Unit Group drives which department or cost center gets the gains or loss and which Balance Sheet holds the assets. This is especially helpful for companies with multiple Balance Sheets.

Thanks for that information however I have two more questions.
we only have one item per asset at this point can I make the conversion number and the conversion number discription the same for AMASTITCNV and AMASSETCNV?
ANd my second question is DO I have to add a field for the asset number or will the system generate a number on it's own when I load it?

Yes, you can have the conversion number and description the same for both tables. In fact, the conversion number must be the same in all the tables (AMASSETCNV, AMASTITCNV, and AMASTBKCNV) so the asset, item, and book info all links up. Each table corresponds to the AM20.2, 20.3, & 20.4 screens. Secondly, the system autonumbers the assets for you, so there is no field for it. You can add an optional tag number if you wish.
