Title: HR Security or LAUA to hide field values

sraffey - January 11, 2006 11:55 PM (GMT)
I need to hide the Salary and SSN fields from all but some employees on HR11 and everywhere else in Lawson for that matter. Is this done with LAUA or HR Security. And how? Any assistance would be appreciated.

Field level security can be done via LAUA

Once in laua, select Sec-Class [F6 - Define]

Scroll down to Product Line, press [F6 - Define] select Applications

Once in Application Security, Scroll down to System Code, press [F6 - Define] select file security

Once in File Security screen, scroll down to select Table (file), press [F6 - Define]
select Field Security

Once in Field Security screen, select which Field(s) and either Delet which fileds you do not want users to see or use Conditions..

Hopefully this helps you out.....

Assuming you're not using the new 8.1 security, you'll need both HR and laua security. The laua set up described in the previous message will stop the display of SSN and Salary in drill-around screens. HR security will stop the display of SSN and Salary on forms and reports.

You'll also need to check all the forms and reports these users have access to because the data may be displayed in some other format. For example, the employee's salary is displayed on BN31 and BN32 if you have a life or disability plan that is based on salary. If people who use those forms should not see an employee's salary, you'll need to modify the forms (neither HR nor laua will secure data on that form).

I actually just did that here a few weeks ago and I did this by changing the field level security in HR10 and then going into HR09 for each employee and giving them a security higher than that of which I put in HR10. The higher the number in HR09, the more restricted the employee is. It's sort of backwards, but now only a select few employees can see salary and SSN. The fields are there, but they are left blank. Hope this helps! Any questions, please ask.

Do some testing with this first. We tried this for our HR dept several years ago and had some major issues until we found out the cause. Our issue was that we didnt' want our HR dept to see the pay rate or increases to their fellow dept members. We setup the HR security so that they couldn't see the other HR users info. These same users also need to run reports to include ALL employes, extract data for ALL employees, etc... Well, their 401K account wasn't getting updated, other reports didn't balance, etc... because the other HR users' info wasn't included since they did not have access to see it. We since have put it back to normal and had to reinforce the universal understanding (especially since they worked in HR and should know it already) since you have access to confidential information, it is to be kept as such, and any reference to it, such as complaints as to what others in their dept are making, are grounds for disciplinary action. It ended immediately.

Our env is 8.3.5 on Unix. As KarenPloof states, changing laua field level security prevents drill around display of pay rate in Pay Information in HR11. I notice however that HR11 Salary History drill around displays pay rates. Has anyone found a way to prevent that drill around? Thanks.

Salary History data is stored in the tables DBHRHRH (HRHISTORY)and DBHRPRH (PRRATEHIST) so you'll need to secure those files/fields using the same method described you used to secure the salary field in DBHREMP (EMPLOYEE).

While you're at it, you will also need to look for the fields TOT PRO RATE SAL, PRO RATE ANN SAL and EMP BASE PAY RATE. They all store some variation of the employee's pay.
